If for any reason beyond ILCA ’s control ILCA determines that the ILCA 2023 Annual Conference must be cancelled, shortened, delayed, dates changed, or otherwise altered or changed, Participant understands and agrees that ILCA shall not refund the registration fees paid and that all losses and damages that Participants may suffer as a consequence thereof are their responsibility and not that of ILCA or its directors, officers, employees, agents or subcontractors. Participants understand that it may lose all monies it has paid to ILCA for participation in the ILCA 2023 Annual Conference, as well as other costs and expenses it has incurred, including travel, lodging, etc.
There will be a 15% processing fee for all cancellations received on or before Wednesday, 12 July 2023. After that time, there will be no refunds for registrations cancelled after Wednesday, 12 July 2023. Cancellations must be emailed to registration@ilca.org prior to this date for refunds to be issued. Name substitutions are allowed to transfer a paid registration to another colleague eligible for the same category registration. Registrations cannot be transferred or applied as a credit to a future event. Telephone cancellations are NOT accepted for refunds. Hotel reservations must be cancelled separately.
If for any reason (including illness) you would like to change your attendance from in-person to virtual, or virtual to in-person your registration will be converted and additional fees will apply if switching from virtual to in-person. Refunds will not be issued for any registration switched from virtual to in person, as expenses have already been assumed by ILCA.
Refunds may be granted, at the sole discretion of ILCA, if a delegate is unable to attend the conference due to a family death, illness, or other extraordinary circumstance. ILCA must be notified immediately and a cancellation request must be submitted via email to registration@ilca.org. ILCA retains the right to request a death certificate, physician note, or other information related to the decision. ILCA is not responsible for events beyond our control such as weather conditions, flight cancellations, venue property conditions, viruses, civil unrest, internet disruptions or equipment compatibility. No refunds will be given in these situations.
In order to receive the member rate for conference registration, you are agreeing that your ILCA membership will remain active and current through 15 August 2023. If you register as a member and your ILCA membership expires prior to 15 August 2023, you will be required to renew your ILCA membership or pay additional fees that equal the non-member registration rate.
Guest passes are available during the registration process. Guests musts be associated with a conference attendee and cannot be another individual from the industry. Guests passes are $200, and grant access to the Receptions on Sunday and Monday evenings ONLY. Guests passes are not required for a minor accompanying an adult at the event.
Important notice regarding COVID-19: By registering for the ILCA 2023 Annual Conference, you are acknowledging that any interaction with the general public poses an elevated risk of being exposed to COVID-19. You further acknowledge that you will individually and voluntarily undertake any measures to protect your own health and well-being at the ILCA 2023 Annual Conference. Attendees will be required to adhere to the Centers for Disease Control guidelines and laws and ordinances/mandates in the of Las Vegas. By attending the ILCA 2023 Annual Conference, you and any guests voluntarily assume all risks related to exposure to COVID-19 and agree not to hold ILCA; Hilton Lake Las Vegas Resort and Spa; Smithbucklin Corporation or any of their affiliates, directors, officers, employees, agents, contractors, or volunteers liable for any illness or injury.
By allowing an exhibitor to scan your badge you consent to ILCA sharing your contact information with such exhibitors for the purpose of contacting you during or after the event and sending marketing communications. You will be subject to their communications and privacy policy and must opt-out with them directly if you choose not to receive communications. You are under no obligation to have your badge scanned by ILCA’s exhibitors if you do not wish to receive such communications.
In consideration of being allowed to register for, and participate in the ILCA 2023 Annual Conference, you hereby warrant and represent that you are age 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue ILCA or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness, disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after the event, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the sole, gross negligence of ILCA. This Liability Waiver & Release is specifically binding upon your heirs and assigns and is knowingly given.
During show hours children of Exhibitor or its representatives must be accompanied by an adult at all times in exhibit hall.
No one under the age of 16 is allowed in the Exhibit Hall during move-in, move-out, or non-show hours. Children 16 and over, who are assisting with set-up or tear-down, must be covered by the Exhibitor’s insurance.
On occasion, you may be photographed, video-taped, or audio-taped in connection with ILCA activities. As a participant of the ILCA 2023 Annual Conference, you agree that ILCA is the sole owner of all rights in and to the resulting photographs, video footage and recordings, for all purposes related to ILCA's business (both now and in the future). Your name and likeness may be used by ILCA in advertising and promotional materials. Participants shall receive no compensation or royalties for appearance in any materials.
As part of your registration of the ILCA 2023 Annual Conference, ILCA will share the data you provide ILCA with third party vendors in order to process your registration, to make you aware of goods and services you may be interested in, to perform analytics on behalf of ILCA, in connection with the ILCA 2023 Annual Conference and for such other purposes as ILCA may approve from time to time. Your virtual registration may include technology that monitors your activities throughout the meeting, such as session attendance and virtual booths visited.
